At the beginning of your adventure with your own business, you need to make a number of important decisions related not only to the subject of the newly established business, but also purely administrative decisions. When running a business, regardless of its size and the number of people employed, you need to remember about fiscal and social security issues. Declarations, forms, testimonies and keeping the appropriate payment deadlines for individual liabilities towards the Tax Office and the Social Insurance Institution is necessary to avoid penalties and unpleasantness. The entrepreneur can be assisted in all these matters by an accounting office, but first you need to answer the question which accounting office to choose. What is obvious is the fact that an accountant, whether running his own accounting company or working in an accounting office, has appropriate qualifications and authorizations to perform the profession of an accountant. Often, information about your education, completed courses, certificates can be checked directly in the office or on its website, but anyone asked by a potential client to present documents confirming appropriate qualifications for bookkeeping will not be refused. Moreover, there is currently no problem with confirming these qualifications. There are websites on which, having the authorization number, we can check their authenticity ourselves. Completely free. Liability insurance is a policy that protects the interests of both parties. An accountant from financial responsibility for incorrect decisions and accounting, and an entrepreneur from the consequences of these incorrect operations. When choosing a legally operating accounting office, we do not have to worry about possible settlement errors. According to the law, every accounting office must have third party liability insurance from the very first days of its operation. Checking whether you have insurance should be one of the first steps.
Prices for accounting services will be different and it is difficult to give an unambiguous price list for accounting services, because its amount will depend on several factors. The three most important below.
First, the legal form and volume of the company’s revenues. Individuals running a sole proprietorship, civil law partnerships, general partnerships and partnerships, whose annual net income does not exceed the equivalent of EUR 2,000,000 in the Polish currency, may conduct the so-called simplified accounting. There are three forms of such simplified reporting – Revenue and Expenditure Book (KPiR), Record-keeping and Tax Card. Simplified accounting, and thus, a smaller number of documents, means a lower price for accounting services. Entrepreneurs running commercial law capital companies, i.e. Sp. z o.o. or a joint-stock company, are required to keep full accounting. Keeping records of more business operations of the company means a higher price for cooperation with an accounting office.
Second, the number of documents sent per month to be booked. As part of the KPiR, accounting offices introduced an additional criterion differentiating prices on the market. We are talking about the number of sent invoices to be posted. By browsing the price lists, you can see more or less what the ceilings are, but you don’t have to worry about larger amounts of invoices at a time. Most offices provide a small surcharge if we exceed a predetermined limit.
Third, the seat of the accounting firm. It is no secret that the rates, even for office space, are higher in cities and their immediate vicinity. No wonder then that the prices for accounting services will be higher in cities and lower in less urbanized areas. On the other hand, greater competition among offices will have an impact on lowering prices.
Range of services
The scope of services will be important in the case of full accounting, as well as if the client of the office is a company employing employees based on various forms of employment (employment contract, order, specific task). If the accounting office additionally provides payroll and HR services, prepares declarations to the Social Insurance Institution, issues employment certificates, takes care of the entire sphere related to the organization of health and safety training, the price for its services will be higher than in the case of keeping only accounting books. At the same time, its offer will be more competitive than others.
