If you need to print a lot of company materials, you are usually doomed to buy very expensive equipment. In view of the need to optimize costs and processes, resulting, inter alia, from the economic effects of the coronavirus pandemic, it is worth thinking about an alternative solution. It is renting or leasing printers.
Why is it not worth buying printers?
Renting printers as well as their leasing has recently been gaining more and more interest on the part of entrepreneurs. First of all, such solutions allow them to use advanced solutions without too much burden on the company’s budget. The costs of renting or leasing photocopiers or printers in the perspective of monthly settlements are much lower, they do not involve a large one-off expense that many companies do not want to incur at present. Leasing or renting photocopiers and printers gives you the opportunity to:
- dividing the purchase into installments,
- choosing a modern device,
- tax reduction thanks to leasing installments and the rental fee thrown into the costs,
- lowering the monthly maintenance costs of the device (especially in the rental option),
- using the service,
- purchase of the device for a small fee (when renting and leasing).

What is the difference between printer rental and leasing?
Renting and leasing printers are two solutions that are often confused. The basic similarity between them is, of course, the possibility of avoiding large expenses related to the purchase of a printer, but then the differences begin:
renting printers is a very simple solution, the number of formalities is limited to the necessary minimum; rental allows you to use very modern equipment for a given period (depending on the provisions in the contract); hardware replacement is also much simpler, which allows you to adjust the printer to real needs; it is also worth noting that the fee you pay as part of the rental often also includes consumables (inks, toners) that provide you with optimal print quality; you can also count on service support, which is really important in the case of devices such as printers or copiers. And most importantly – you only pay for the actual use of the device.
Printer leasing also allows the use of modern devices for a fixed monthly fee, it is a small percentage of their value, while it should be noted that the leasing contract is more complicated and demanding than the rental contract, while modern solutions used by service providers in some cases allow it to be concluded even in within a quarter of an hour; installments are fixed, so budget planning is easier, and the leasing fee can be included in the tax deductible cost, so it will lower your tax; the downside is the need to independently source consumables and a less extensive service offer.
